3. Kto nam pomaga (podmioty przetwarzające)

PodmiotRolaJakie dane

Resendwysyłka e-maili z kodem logowaniaadres e-mail i jednorazowy kod

Logi techniczne zawierają identyfikator zapytania, ścieżkę, status, czas i pseudonim konta (skrót), nigdy adres e-mail, kod, token ani treść. Mają stały, mały rozmiar i są nadpisywane automatycznie.

6. Podstawy prawne

7. Twoje prawa

Możesz też złożyć skargę do Prezesa Urzędu Ochrony Danych Osobowych.

9. Strona captylo.com

Strona nie używa plików cookie, analityki ani narzędzi śledzących. Zapamiętuje tylko wybrany język w pamięci Twojej przeglądarki. Pobrania aplikacji i sprawdzenia aktualizacji liczymy z logów serwera strony. Zawierają one ścieżkę, czas, status i wersję aplikacji z nagłówka zapytania, bez adresu IP i bez identyfikatora instalacji.

Privacy policy (English summary)

The Polish text above is the binding version; this is a faithful summary.

Controller: CraftWeb Sp. z o.o., Osiedle Pod Wiatrakami 9, 62-261 Lednogóra, Poland, KRS 0001039024, NIP 7842535739, REGON 525423100, hello@kawalec.pl.

By default nothing leaves your Mac. Dictation, on-device transcription, history, self-learning, meetings, notes (typed and voice), search and the MCP server run locally, and your recordings, transcripts, notes and AI agent chats stay on your disk, with no telemetry and no account needed in Free. The MCP server is off by default; if you connect an AI assistant to it (such as Claude Desktop or Cursor), what the assistant reads from your meetings and notes goes to that assistant's provider under your agreement with them. The speech models are downloaded once from Hugging Face, and about once a day the app checks captylo.com for a new version, sending nothing but its version (turn it off in Ustawienia > Aplikacja > „Sprawdzaj automatycznie”).

Your own API keys (any plan) send requests straight to the provider you chose (ElevenLabs for cloud transcription, OpenRouter for AI modes, style learning, meeting and note AI and the AI agent), not through our server.

Captylo Pro: requests without your own key go through api.captylo.com, which streams them to our processors with our key and stores none of the content. Only what the feature you run needs is sent: the audio of a dictation, voice note, imported file or meeting for cloud transcription; the dictated or note text, the mode's instruction, vocabulary and learned hints, and your style profile with the target app's name for AI modes; with AI on, style samples (text before and after your edit, up to 600 characters each, with the app name) to build your style profile, and a new or edited note (up to 4,000 characters, once per note) for its title; the meeting transcript, notes, title, date and calendar participants for meeting AI features, and when you ask across everything only matching meeting excerpts and up to five matching notes cut to 1,500 characters; for the AI agent, your messages, the earlier part of that chat and the excerpts of meetings, notes and dictation history it finds by searching on your Mac.

Processors: ElevenLabs (speech to text), OpenRouter and the model provider it routes to (AI text), Stripe (payments, payment confirmations, subscriptions), Fakturownia sp. z o.o., Warsaw (VAT invoices and corrections for Captylo Pro, sent by email and to KSeF: name or company, address, tax or EU VAT number, email, plan, period, amount, currency and payment date), Resend (sign-in emails), Hetzner Online GmbH (hosting in the EU, Finland). Some process data in the US under the EU Standard Contractual Clauses or the EU-US Data Privacy Framework.

Invoices and KSeF: every Captylo Pro payment gets a VAT invoice issued in Fakturownia. Invoices for businesses are sent to the Polish National e-Invoicing System (KSeF), run by the Head of the National Revenue Administration, as tax law requires; KSeF is a recipient by law, not our processor. Invoices for private persons do not go to KSeF.

What our server stores: your email address, sign-in sessions (token hashes, device name, dates), hashed one-time codes (10 minutes, deleted a day after expiry), your subscription state from Stripe, monthly usage counts (audio seconds, AI tokens) and an invoice register (invoice and KSeF numbers, Stripe and Fakturownia document ids, amount, currency, status and whether the buyer is a business, but never the buyer's name, address or tax number). Never audio, transcripts, notes, text, questions or AI agent chats, neither on disk nor in logs; logs hold request ids and a hashed account pseudonym, never an email address, code, token or content.

Retention: account data until you ask us to delete it at hello@kawalec.pl; sessions expire after 180 days unused; usage counts 13 months; download and update-check logs (no IP address) 12 months; payment records and invoices as tax law requires (5 years), with us, Stripe and Fakturownia, and in KSeF for as long as tax law sets.

Your rights under the GDPR: access, rectification, erasure, restriction, portability and objection; you may complain to the Polish data protection authority (Prezes UODO).

Meeting recordings: you decide to record other people, so you are the controller of that data: tell the participants and ask for consent where needed. Recordings stay on your Mac; when you run a Pro cloud feature we process meeting excerpts only on your behalf.

captylo.com uses no cookies, analytics or trackers; it remembers only your language choice in your browser. App downloads and update checks are counted from the site's server logs, which keep the path, time, status and app version, never your IP address or an install identifier. The account panel at app.captylo.com sets one strictly necessary cookie with your sign-in session (no analytics); it is removed when you sign out, and an unused session expires after 180 days. The invoices it lists (with the KSeF number once assigned) and their PDFs are fetched live from Fakturownia and the payment processor, never stored by the panel, and an invoice file is shown only to its owner.

Device prototype tests: if you sign up, the site's admin stores your email address, your name (if given), the device you chose, your message, the page language and the date, and we get an email about it through Resend. We use it only to contact you about the tests, based on your consent, which you can withdraw at any time at hello@kawalec.pl. We delete it when the tests end, or earlier if you ask.
